The default stack in most KL and PJ agencies — client communication on WhatsApp, deliverables in Google Docs, dashboards shared as Looker Studio links — is already Google-native. M365 enters the conversation during procurement reviews, data-volume pain, or enterprise client compliance checks. Here is where each platform actually wins or loses for a search agency.
Native Search-Stack Access vs Connector Tax
A search agency’s day starts inside Google properties. The SEO team pulls Search Console query data, the PPC team exports Google Ads search term reports, and the content team reads GA4 events. In Google Workspace, every service shares the same OAuth tenant, and Looker Studio connects to Google Ads, GA4, and Search Console with a dropdown click. Sheets is where the Google Ads Editor drafts, budget trackers, and content calendars live.
M365 has no native path to Google’s reporting stack. To land the same data inside Excel and Power BI, an agency pays a connector tax. Supermetrics for Microsoft 365 starts around USD 149 per month per data source, and a Marketing Dashboard plan is more. The alternative is writing a custom GA4 and Search Console API pipeline in Power Query, which burns senior analyst hours that could be spent on client audits. One 40-person agency we observed runs M365 internally but still exports all Google reporting through free Looker Studio links from personal accounts — double-handling every single month.
Data Ceilings: Sheets Fails Exactly Where Excel Wins
Google Workspace loses hard on bulk data. Sheets caps at 10 million cells; in practice, a sheet with 150,000 rows of Semrush keyword exports plus pivot formulas will freeze a mid-range laptop mid-video-call. Search Console API pulls cap at 25,000 rows per request, so a three-year query export for an e-commerce site, merged with an Ahrefs backlink history, produces CSVs that Excel pivots without complaint. Excel’s 1,048,576-row ceiling and Power Query are the right tools for PPC account migrations, Screaming Frog crawl analysis, and keyword clustering at scale.
The pragmatic hybrid we see working in Kuala Lumpur agencies: run Workspace for day-to-day operations, hold one or two M365 licences for a data analyst working in Excel and Power Query on a local machine, then push the finished outputs back to Sheets or Looker Studio for client consumption.
Client Reporting: Looker Studio vs Power BI Friction
KL clients, especially e-commerce accounts on Shopify, Lazada, or PG Mall, do not want PDF attachments. They want a live link they can open from their phone inside WhatsApp. Looker Studio is free and renders real-time dashboards straight from GA4 and Google Ads. A client portal built on Google Sites with embedded Looker Studio frames takes one afternoon to assemble.
M365 Business Standard does not include Power BI Pro. That is a separate licence at roughly RM 20–30 per user per month, and sharing a Power BI workspace with external guest clients requires careful permission mapping and often additional licensing. Power BI is functionally superior for complex modelling, but your client will not notice the difference between a Looker Studio link and a Power BI embed in an email. You will notice the invoice.
PDPA, Data Residency, and the Malaysia Region Gap
This is the compliance chapter. When a client’s legal team asks where data sits at rest, the answers diverge. Microsoft’s Malaysia cloud region is live, and M365 data residency in-country is available for eligible tenants, which helps satisfy PDPA 2010 cross-border transfer obligations for financial services or government-linked clients. Google Workspace tenants based in Malaysia default to Singapore (asia-southeast1). A strict “no cross-border transfer” clause breaks on that default.
Realistically, most search agency clients — retail, F&B, travel, lead gen — accept Singapore residency. The deal-breaker appears during enterprise and GLC procurement reviews, and we have seen accounts lost over the clause. When that happens, M365 Business Premium with Purview DLP and eDiscovery becomes the compliance layer, and the agency simply accepts the connector tax as the cost of doing the deal.
